Privacy policy

This policy explains how UNITOP collects, uses and protects personal information through this website. UNITOP supplies registered businesses; the personal information we hold is mostly the business contact details of the people who work with us. We handle it in line with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).

What we collect

• Business account applications: your company’s legal and operating name, business number, GST/HST and import account numbers, addresses, the contact person’s name, job title, business email and phone, accounts-payable email, and any document we ask for to verify your business.
• Quote requests, OEM inquiries and messages: what you send us, including product details, quantities, artwork and attachments.
• Communication choices: your mobile number if you give it, whether you agreed to marketing emails, text messages and WhatsApp messages, and when. Both are optional and you can change them in your account at any time.
• Sign-in: your email address and a scrambled (hashed) version of your password. We cannot read your password.
• Technical: your IP address with each form you submit, used to block spam and abuse, and a session cookie that keeps you signed in. Analytics cookies only if you accept them (see Cookies below).

How we use it

• To verify your business and decide on your account application, including checking the information you give us.
• To prepare quotes, process orders, deliver products, invoice, and support your account.
• To send you messages about your account, applications, quotes and orders.
• Only if you agreed: to email you product news, shipment dates and offers (every such email has an unsubscribe link), and to send text or WhatsApp messages about your account, bookings, orders and offers (reply STOP to a text, or change your choice in your account, to stop them). WhatsApp is a service of Meta Platforms.
• To keep the website secure and to meet legal, tax and customs obligations.

We do not sell personal information, and we do not use it for purposes you would not reasonably expect without asking you first.

Cookies

• unitop_sid (always): keeps you signed in. Deleted when you close the browser.
• unitop_consent (always): remembers whether you accepted or rejected analytics, for 6 months.
• Google Analytics (_ga, _ga_…), only if you click “Accept analytics”: count visits and show which pages are used, so we can improve the site. Kept up to 2 years. Google Analytics is a service of Google LLC and may process data in the United States. We have turned off Google signals and advertising features, and we don’t use advertising cookies.

Until you accept, nothing from Google loads on this site. You can change your choice at any time with Cookie settings at the bottom of every page; rejecting deletes the analytics cookies.

Who we share it with

Only with service providers who help us run the business (website and email hosting and, when you order, manufacturers, freight forwarders, customs brokers and carriers), and only what each needs for its task. Our providers may store or process information outside Canada, where it is subject to the laws of that country. We require providers to protect it.

How long we keep it

For as long as your account is active and afterwards as long as needed for legal, tax and accounting purposes. Declined applications are deleted after 24 months unless you ask us to delete them sooner.

Your choices and rights

You can ask to see the personal information we hold about you, ask us to correct it, or withdraw consent (which may mean we can no longer supply your account). Use our contact form. We answer within 30 days. If you are not satisfied, you may contact the Office of the Privacy Commissioner of Canada.

Security

The site uses encrypted connections (HTTPS). Documents you send us are stored outside the public website and are visible only to you and authorised UNITOP staff. Passwords are stored as one-way hashes.

We will post any change to this policy on this page with a new date.
